IP Paralegal


Position:                    IP Paralegal (Post Allowance and Docketing)

Location:                   Philadelphia, PA or Wilmington, DE

Department:              Intellectual Property Prosecution

Status:                       Permanent; non-exempt  

Schedule:                  Core Hours, 9:00am-5:00pm Monday-Friday, unless otherwise approved; additional hours as required



Duties include multiple facets of patent prosecution with an emphasis on post allowance, formalities, and assisting with the docketing overflow.



  • High School Diploma or equivalent required
  • Specialized paralegal degree, associate and/or bachelor's degree desirable but not required
  • At least 5+ years Intellectual Property legal experience



  • Must possess advanced knowledge of Patent rules and procedures
  • Be proficient in navigating EFS, PAIR, ESPACENET and other foreign patent offices
  • Strong clerical skills, including organization, time management and attention to detail
  • Ability to multi-task, work independently and organize workload to meet deadlines
  • Intermediate to Advanced knowledge of Microsoft Office suite and document management programs
  • Must also be comfortable working in a cloud-based environment
  • Excellent communication, writing, proofreading, and editing skills are necessary



  • Responsible for reviewing Notice of Allowance documents and ensuring all required application documents are on file with the USPTO before the Issue Fee deadline
  • Preparing and file U.S. Issue Fees
  • Prepare reporting letters to clients
  • Prepare invoices for task-based billing clients
  • Assist in daily quality assurance review for patent filings
  • Assist in maintaining and updating foreign and U.S. patent prosecutions in our docket systems to track deadlines associated with obtaining and maintaining foreign and domestic patents
  • Perform electronic interactions with the U.S. Patent and Trademark Office as well as foreign and international intellectual property entities (e.g. searches, status checks, electronic filings)
  • Contribute to general needs of the Patent Group including back-up assistance and participate is special projects
