Billing Assistant



Department: Accounting     

Status: Permanent, Non-Exempt                     

Reports to: Controller

Hours: Monday - Friday, Part Time (21-28 hours per week) 

Location: Philadelphia, PA



Assist the billing coordinator and controller with coordinating and preparing billing information for use by the legal staff and Accounting Department.  Monitor work-in-progress (WIP) and keep management apprised of any delayed billings.



  • Monitor WIP, follow up with Responsible Partner and provide reasons for delayed billings.  For transactional work, provide estimated billing time frame and any fee arrangements established with the client.
  • Assist with printing and distributing prebills by the 3rd working day of each month.
  • Perform edits, prepare bills and ensure final bills are returned by the 15th working day of each month; carefully observe and apply discounts ensuring adherence to firm policy.  Obtain proper authorization for non-institutionalized discounts that exceed $1,000.00.
  • Follow up at least one week prior to closing on all outstanding bill drafts to expedite partner review and adherence to monthly billing schedule.
  • Post bills into the accounting system and organize and file bills in a prompt manner
  • Respond to client and attorney billing inquiries promptly and completely; usually clearing client requests with the billing partner before releasing any data.  Inform Supervisor if you are unable to respond on "same day" basis or meet the requested deadline.
  • Maintain up to date partner billing profiles to ensure proper coverage when absent or assistance is needed.



  • Bachelor’s degree or comparable experience preferred
  • Strong oral and written communication skills
  • Good basic math skills
  • Detail Oriented
  • Intermediate Knowledge MS Word and Excel
  • Preferred knowledge of Aderant
  • Possess initiative and is prepared to follow-up on problem areas with limited supervision
  • Ability to work well with others
